The sheet
This is the one page we leave at the front desk. Three rules, a three step self check for preparers, and four jobs for the admin team. Print it two sided and pin it above the scanner.
Three rules before any prompt
1. Pick the slow model
In Copilot choose Think Deeper. An answer in seconds is a warning sign. Check the model and start over. If Copilot offers a Claude model, use it. If not, your IT admin can turn it on in minutes.
2. One step, one chat
Step 1 gets its own chat. Steps 2 and 3 share a separate one. The model that lists the documents never sees the return. That is the control.
3. Firm account only
Client documents go only into the AI account your firm licenses and controls. Never a free account, never a personal one.
What is on the sheet
Side one. The three step self check. Last year's return and this year's documents into an Excel worksheet with an Expected tab. The worksheet compared to the prepared return in a second chat. Then the person, state, and K-1 checks. Facts only, the preparer decides.
Side two. Four jobs for the front desk. Finding tax documents, engagement letters, and DocuSign envelopes in the inbox. A scan check before a file goes to a preparer. What is not filed, from the e-file status export. And the planning letters prompt, two files from one filed return.
The library. Launching December.
Every prompt we use, the workbooks, and the process behind them, kept current through the season. Accessible monthly price. The first fifty firms get a founding rate that does not go up. Leave your email and you are on the list.
One email when it opens. Nothing else.
This is the basic method
The full process adds a prebuilt workbook with control checks, detailed reader instructions, and additional checks refined through hundreds of actual tax return reviews. We run it for firms, or teach your team to run it.
